    Log in using your Dimensions user name <BR>and password Click 'My Services' Click on 'Scheduler' To set up your Master template, click <BR>'Master' The Master Template will hold all of the <BR>service recurring appointments To create a new appointment or shift, <BR>click on the day/time you want Choose the type of appointment This is the appointment form Choose the start/end date and time for <BR>the appointment Choose the type of shift, for example <BR>shift lead/On call/management <BR>hours/Sleep in This part of the form allows a recurrance <BR>to be set for the appointment Appointments can be set to occur only <BR>on specified days if required The Recurrance can be <BR>daily/weekly/monthly or every week day You can choose to end the recurrence <BR>after a specified number of instances Click OK and the appointment will be <BR>saved The appointment will now appear in the <BR>master scheduler To copy these appointment in to the <BR>actual scheduler, click 'actual' Click 'Generate appointments' The appointments that were created in <BR>the Master are now able to be viewed <BR>and edited To view the details of the appointment <BR>either hover the cursor over the <BR>appointment or click open To allocate staff to the shift once in the <BR>appointment, click 'None', then 'remove' Then click 'Add' and choose the staff <BR>member required from the list Click 'Add' to confirm the staff member <BR>chosen for the shift The appointment will now show in the <BR>'Actual' as confirmed Note the blue line to the left of the <BR>appointment denoting 'confirmed' A quick way of allocating staff to shifts, <BR>right click the appointment, and 'change <BR>resources' Choose the staff member required and <BR>click 'Apply' To extend or shorten the appointment, <BR>hover the cursor over the top or bottom <BR>of the shift While holding the left mouse button, <BR>drag the appointment to the required <BR>start or finish time A popup will apear asking to confirm the <BR>change Once confirmed by clicking 'Yes' the <BR>appointment is saved Different view options are available 'Day' View makes it easier to see the <BR>details of the shift if lots of appointments <BR>occur at the same time Travel time can also be scheduled Choose the staff member required Save the appointment by clicking 'OK' To capture sickness, create a new <BR>appointment and choose 'Absence' Choose the staff member to whom it <BR>applies Choose the reason for absence Or if the staff member has returned from <BR>a period of absence, 'returned to work' <BR>can also be chosen To view one of your team members <BR>calendars, click 'Lookup' Choose the staff member from the drop <BR>down list, then click 'Display' A new window appears with the calendar <BR>chosen The staff calendar will show where ever <BR>they are scheduled to work as long as <BR>they have been allocated to the shift 'Group by' enables you to see <BR>appointments by an alternative view 'Staff view' enables you to see the rota <BR>for a particular staff member for this <BR>service The scheduler will now show the <BR>contracted hours for the staff member <BR>(C) Also how many actual hours have been <BR>scheduled for them that week (A) In the 'Group by' box click 'none' to <BR>return to the previous view Weeks can be moved forward one at a <BR>time by clicking the right arrow Leave requests should come from the <BR>staff member via the portal However, it may at times be appropriate <BR>for the manager to schedule these in <BR>instead Creating a leave appointment is the done <BR>in the same way as creating a shift, <BR>except 'Leave' is chosen as type instead Allocate the staff member Specify the number of hours If the leave type is not annual leave, <BR>choose which type applies Click OK to save
